This policy explains how Idataraya Sdn Bhd (1263428-K), trading as Golfhub (“Golfhub”, “we”, “us”) handles personal data in connection with this website and our services, in line with the Personal Data Protection Act 2010 (PDPA).

1. The data we collect

Visitors do not need an account to use this website. We receive personal data in these ways:

Enquiries you send. The contact and proposal forms deliver what you enter to our inbox. Typically this is your name, organisation, email address, phone number and details of your project or question.
Simulator bookings. When you book the bay at Menara KBS we record your name, email address, phone number, the session you chose, any note you add, and whether you attended. For junior lessons, the parent or guardian making the booking also gives the child's name and age. If a booking needs payment, we receive the payment receipt you upload so our team can match it to the transfer.
Events and the booth queue. At events where Golfhub has a booth, you may tell us you are coming, leave your details at the booth, or join the simulator queue. For these we record your name, email address, phone number and the answers you choose to give, such as how many people are playing, whether you play golf, your interests, how your turn went, and the optional questionnaire about your organisation and plans. Our staff may add a short note and rating after your turn to help us follow up.
Simulator sessions. When you unlock one of our simulators, we record which booking or queue number started it, when it started and ended, and, for bookings, that the session was played. To check a booking, you type the last 4 digits of the phone number on it, then a one-time code we email to the address on the booking. We keep a count of tries for an hour to stop guessing, and each code expires after 10 minutes. Our staff can watch the simulator screen live while you play, to help if something goes wrong; it is not recorded or stored.
Career and volunteer applications. When you apply through the careers page we record your name, email address, phone number, the work you are interested in, your links and your note. Your CV, if you attach one, is emailed to our team and is not stored on this website.
Direct correspondence. Emails, calls and messages you send to our published contact details, and information exchanged during consultations, site surveys and engagements.
Technical data. Our hosting infrastructure records standard server logs, such as IP addresses and requested pages, for security and operational purposes. We also keep a record of email addresses that could not receive our emails, so we stop sending to them.

2. Cookies and storage on your device

This website does not set advertising, tracking or analytics cookies. If you join a booth queue, your browser stores your ticket reference so you can return to your place in line; it holds no other personal data and you can clear it at any time. Golfhub staff who sign in to our admin pages receive a sign-in cookie that is needed for that purpose only.

3. How we use personal data

We process personal data to:

Respond to enquiries and arrange consultations, visits and calls
Confirm, manage and remind you about bookings, and record attendance under our booking rules
Run the booth queue at events, call you when it is your turn, and send your queue number and questionnaire by email
Follow up on what you told us you are interested in, where you agreed to be contacted
Consider career and volunteer applications and contact applicants
Prepare site surveys, specifications and investment proposals
Deliver and support engagements you have contracted us for
Maintain business records required for accounting and legal compliance
Protect the security and integrity of our website and systems, including blocking automated abuse

We send emails that are part of a service you asked for, such as booking confirmations, queue numbers and application receipts. We contact you about our products and programmes only where you agreed to it, and you can ask us to stop at any time. We do not sell personal data, and we do not use it for automated decision-making or profiling.

4. Disclosure

We share personal data only where necessary to deliver an engagement (for example, with an equipment manufacturer processing a warranty claim on your behalf, or with a partner running a simulator with us at an event), with professional advisers under confidentiality, or where disclosure is required by law or a regulator. Any party we engage is bound to handle your data consistently with this policy.

5. Retention

Enquiry correspondence that does not lead to an engagement is deleted once the enquiry is closed.
Event, booth queue and questionnaire records are kept for up to 24 months after the event, so we can follow up and plan future events, and then deleted.
Career and volunteer applications are kept for up to 12 months, so we can consider you for roles and events that come up, and then deleted.
Booking and payment records, and records connected to a delivered engagement, are kept for the period required by Malaysian tax, contract and company law, and then deleted.

You can ask us to delete your data sooner, subject to records we must keep by law.

6. Security

Personal data we hold is stored in access-controlled business systems. Only Golfhub staff who need it to serve you can see it, and they sign in to do so. Queue tickets are opened by a private link that only you and our staff hold.

7. Third-party services

We use a small number of service providers, each of which processes data only to provide its service to us:

Cloudflare hosts this website and its database, and provides the security check on our forms (Cloudflare Turnstile).
Our email server, operated by Idataraya Sdn Bhd, sends confirmations, queue numbers and notices.
Web3Forms relays the contact and proposal forms to our inbox.
The contact page embeds a Google Map, served by Google and subject to Google's own privacy policy; it loads only when you open that page.
WhatsApp links open WhatsApp, which is governed by its own terms and privacy policy.

Links to external sites are governed by those sites' policies.

8. Your rights under the PDPA

You may request access to the personal data we hold about you, request correction of inaccurate data, withdraw consent to processing, or ask us to stop contacting you. Write to info@golfhub.my and we will respond to your request.

9. Changes to this policy

If this policy changes, the updated version will be published on this page with a revised date above.
